- Reservations at Recreation Centers are primarily available for sport and wellness-related bookings.
- For any other type of booking, please consider contacting the Rutgers Student Centers for spaces in those facilities as well as academic spaces.
- Registered Student Organizations, Rutgers University Departments, and External Organizations may request space at Rutgers Recreation facilities.
- External organizations must have commercial general liability insurance coverage in the amount of one million dollars ($1,000,000) per occurrence and two million dollars ($2,000,000) in aggregate. Coverage will need to include Rutgers, the State University of New Jersey as additional insured.
- We are unable to reserve space to individuals or groups that are not officially sponsored by a registered organization or department.
- Requests must be a minimum of 14 business days prior to a requested reservation date (additional time needed for larger scale events). Large-scale event requests require a minimum of 30 business days, as they may require coordination with Rutgers Police, Rutgers Institutional Planning and Operations, and other contracted vendors.
- All submitted requests from Rutgers University Student Organizations and Departments must have received pre-approval using The Rutgers Event and Activity Certification System: https://ipo.rutgers.edu/events/eacs-tutorial. EACS approval is not a reservation confirmation. Reservations must be requested using the form above, and are not considered confirmed until you receive a formal confirmation e-mail from the Recreation Reservation Team.
- Rutgers Student Organization Reservation Requests will be processed seven days before each semester/session starts. All requests received before that will be stored and processed on a first-received basis.
- Requests for reservations do not guarantee confirmed bookings. You will receive a confirmation e-mail once the booking is confirmed. Follow-ups can be directed to rec.reservations@echo.rutgers.edu.

- Facility Rental Rates
These rates do not include any fees incurred by Rutgers Institutional Planning and Operations (Custodial, Maintenance/Electrical, Grounds/Field Lining, RUPD, EMS, Fire Safety) or Event Security and will be billed separately.
Indoor reservations also require a minimum of 2 Rutgers Recreation staff members. Staffing fees are $20/hr per staff member.

Reservation Policies and Procedures
- Admission Fees
Rutgers Student Organization reservations charging admission will be subject to facility rental fees. Rates will be charged at 50% of the listed general rate. Exceptions will be made for programs where all proceeds would be donated to a non-profit organization. Documentation must be provided from the organization that will be receiving the funds on their organization letterhead.
- Alcohol
Alcohol is not permitted at any reservations held at Recreation facilities. Exceptions to this policy must be requested through Rutgers University Risk Management.
- Before/After Hours Rentals
In addition to the rental and event operation fees, any group that schedules an event outside of a facility’s regular operating hours will be responsible for all personnel costs incurred in keeping the facility open beyond its posted hours.
- Cash Collection On-Site
Reservations involving cash collection on-site will be subject to review for security needs, and reserving groups will be responsible for all associated costs. Rutgers Recreation will coordinate the scheduling of security support through Rutgers IPO.
- Damages to Facility/Equipment (Including Cleaning Required After Reservation)
Reserving groups will be held financially responsible for any special cleaning, maintenance, or repair resulting from the event or activity.
- Decorations
Items may not be nailed, tacked, stapled, glued, taped or otherwise fastened to ceilings, walls, windows, columns, painted surfaces, and doorways. All signs and or decorations of any type must be self-supported and/or free-standing and pre-approved by Rutgers Recreation. Balloons may not be brought into any recreation indoor venues. Windows may not be covered. Rutgers signage cannot be covered or otherwise obstructed. All painted decorations must be completely dry before entering facilities. Posting client signage/notices will be designated to specific areas determined by Rutgers.
- DJ/Live Music
Reservations involving a DJ or live music will be subject to review for event public safety needs, and reserving groups will be responsible for all associated costs. Rutgers Recreation will coordinate the scheduling Rutgers IPO for event coverage such as Public Safety, electricians, custodial services, grounds, etc.
Concerts and festival reservations will be limited to Deiner Park on the College Avenue Campus.
- Early Arrival / Late Attendance
Reserving groups may not begin to use confirmed spaces for reservation purposes earlier than the confirmed reservation start time, nor remain past the confirmed reservation end time. Using a space beyond confirmed reservation times will result in additional fees assessed to the reserving group.
- Electrical Requirements
Based on electrical needs for a reservation, Rutgers IPO electrician support may be required, and reserving groups will be responsible for all associated costs. Specifications for electrical requirements are required to be submitted in advance and approved.
Rutgers Recreation will coordinate the scheduling of support through Rutgers IPO.
- Equipment
Access to equipment for reservations may be requested but is not guaranteed. All equipment may be subject to equipment rental fees. If any equipment is damaged or unreturned, the reserving group will be subject to repair/replacement fees.
- Fees for Non-Recreation Services Required
Based on the scope of each reservation, additional event support needs may be required. This includes but is not limited to:

Outside Equipment RentalsThe reserving group will be responsible for all associated costs incurred. These services may be billed directly to the reserving group separate from any invoices provided by Rutgers Recreation.
- Food
Reservations involving food will be subject to review for custodial/grounds support needs, and reserving groups will be responsible for all associated costs. Rutgers Recreation will coordinate the scheduling of custodial/grounds support through Rutgers IPO.
Food vendors must conform to all state and local ordinances pertaining to food handling and must present updated food handling certificates and a certificate of insurance including Rutgers the State University of New Jersey as additional insured.
- Lost / Damaged Property
Rutgers Recreation is not responsible for any lost, stolen, or damaged property belonging to the members of reserving groups utilizing the facilities.
- Marketing and Soliciting
All marketing must be approved. Advertising at any Recreation Facility does not constitute an endorsement or guarantee of any product, service, or information.
Only digital advertising will be accepted. No posting/signage may be secured to walls of Recreation Facilities, doors, windows, stairwells, or hallways.
No unauthorized petitioning or soliciting may be conducted in or around the recreational facilities.

- Open Fires
Open fires are prohibited for all indoor reservations. For outdoor reservations involving open fires (cooking, fire pits, etc.) must be approved through a Rutgers University Fire Permit request at least two weeks prior to the event date, using the form found at the link below:

- Parking
Rutgers University Departments and Student Organizations:
If parking is required for non-Rutgers affiliates for a reservation, you may request event parking at https://ipo.rutgers.edu/dots/permits/event-parking.
Event parking is not available to current Rutgers Students or Employees. All Rutgers Students and Employees must park in the lots designated by their parking permit purchased directly through Rutgers Department of Transportation.
External Groups:
Parking will be made available to the external groups in accordance with contracted times and dates. Reserving groups agree to abide by all Rutgers’ parking and traffic requirements, including but not limited to passenger and equipment loading/unloading, observance of authorized parking locations, payment of any additional fees/fines, and display of vehicle parking permits. Access to loading docks or delivery areas must be coordinated with Rutgers prior to the event. Parking in Rutgers’ loading areas is prohibited and violators will be ticketed and towed at the vehicle owner’s expense. Payments of citations, which result from parking/traffic violations, are the sole responsibility of the Reserving Group and their Participants.- Portable Restrooms (Outdoor Bookings)
For outdoor reservations requiring portable restrooms, reserving groups will be responsible for all associated costs. Rutgers Recreation will coordinate the scheduling of portable restroom drop-offs and pickups.
- Reservations Involving Minors (Individuals under the age of 18)
All Rutgers-sponsored programs involving minors are subject to full compliance with the Rutgers Protection of Minors requirements found at https://ipo.rutgers.edu/publicsafety/protect-minors.
Events Hosted or Sponsored by External Groups:
Rutgers will not take custodial responsibility of minors while participating or spectating in events hosted or sponsored by external groups (third-party agencies) that rent a facility or equipment owned or operated by Rutgers. Care, Custody and control will remain with the teachers, coaches, parents, legal guardians, and/or chaperones from the third-party agency.External groups that wish to operate programs or activities involving minors on Rutgers campus must ensure their programs are run consistent with the guidelines of the University Protection of Minors Policy or https://protectminors.rutgers.edu.
The policy includes requirements relating to reporting suspected abuse or neglect of minors, completing all relevant training, and undergoing background checks.
External groups reserving space for programs including minor-age participant must provide general liability insurance including Sexual Abuse and Molestation coverage with minimum limits or sub-limits of $1,000,000 per occurrence.
- Vendors
All vendors (Non-Rutgers affiliated) must provide a certificate of general liability insurance. See Insurance section for more information.
Any vendors who are selling merchandise will be subject to a daily vendor fee.
Reserving groups are responsible for ensuring that outside vendors meet all requirements and submit all required documentation prior to the event date.
