Recreation Policies and Procedures

  • All members and guests of our facilities are expected to follow all Federal, State, and Rutgers University policies, rules and regulations as well as those stated in the Code of Student Conduct Section VII.
  • All injuries and equipment issues are to be reported to staff immediately.
  • The blocking of hallways, pathways or emergency exits with personal belongings or activities that restrict movement through those areas by other users.
  • Animals, except for service animals and roller blades/skates, skateboards, and shoes with built-in wheels, bicycles, scooters, and mopeds are not permitted inside the facilities. 
  • The use of facilities for paid instructional, training, or coaching purposes is prohibited.
  • All drinks must be kept in a sealed, non-glass container.  No glass of any kind is allowed in locker rooms and aquatic areas. 
  • Food is not permitted in any activity space.
  • Field use is for Rutgers affiliates only. Organized groups must have a reservation.
  • Distracting behavior and loud noises including dropping weights, offensive language yelling, taunting, and grunting is not permitted
  • Spaces such as MPR's (Multipurpose Rooms) are unavailable for open recreation use 15 minutes prior to and during reserved programming times such as Fitness & Wellness classes and sport club practices. Users who are not program participants may not enter or use equipment during this time. 
     
Attire & Hygiene
  • Attire that includes a top and a bottom are required in all indoor public spaces
  • All participants are to follow good hand-washing hygiene, covering all wounds, and clean equipment and mats after use.
  • Bare or socked feet and open-toed shoes are prohibited in any areas and/or
    activities that include weights such as fitness centers, power gyms and studios except during instructional classes such as Yoga or Pilates.
  • Metal cleats are prohibited in all indoor and outdoor spaces.
Facility Access
  • All users must check in and out with their valid, university-issued Rutgers ID cards through officially designated entry and exit points.
    • As a courtesy, in the case that an individual does not have their physical ID card, they will be permitted to enter using their NetID up to (3) times per semester.
  • Members may sponsor up to three guests per day with guest pass purchases at $10 per guest, per day.
    • Guests must be 18+ years of age and show photo identification that includes a date of birth.
    • Guest passes are non-transferable.
    • Guests must enter and exit the facilities with their sponsoring member. The member shares the responsibility for the guests’ behavior.
    • Members may not accept solicitation requests to sponsor guests.
  • Event attendees are restricted to the event area.
  • Reservations at Recreation Centers are available for sport and wellness-related bookings only.
Equipment and Personal Belongings
  • Abuse and/or misuse of any equipment is prohibited
  • Equipment may not be removed form designated area/room.
  • Saving equipment for another user that has not arrived is prohibited
  • All borrowed items must be returned before leaving the facility.
  • Rutgers Recreation is not responsible for lost or stolen items or items vacated due to unauthorized use. 
  • All items of value are to be locked in a secure locker. Locker rooms are available, with locks available for day-use free of charge with your Rutgers ID card at each front desk.
  • Personal items left behind are brought to the front desk of the facility, stored and discarded/donated after 7 days. Exceptions to this include items that are considered valuable such as cash, jewelry, phones/tablets/laptops, government-issued ID cards, which will be processed according to the University’s lost and found policy
Audio/Visual
  • Music played so others could hear.
    • Headphones must be used while listening to personal music in all shared
      spaces.
    • Music labeled as explicit is not to be played out loud, even during pre-
      approved reservations.
  • Use of cameras and video equipment is prohibited without prior approval.
    Personal photos and/or video should not include other users.
  • Recreation audio/visual equipment use is limited to recreation programs and approved reservations.
     
Locker Rooms, Restrooms, and Saunas
  • The use of personal audio or visual recording devices including a cell phone camera, in changing areas, restrooms or locker rooms is prohibited.

  • According to New Jersey’s nondiscrimination law, individuals may use restrooms and locker rooms according to their gender identities. Single use restrooms are available at College Ave Gym. Single use changing areas are available at the Werblin Recreation Center.
  • All daily lockers must be vacated at the close of each day. Any locks remaining on daily lockers at the end of the day are subject to being cut off at the owner’s expense.
  • Items in lockers will be tagged and held for two weeks; however, Rutgers Recreation will not be responsible for items retrieved from lockers where locks have been removed.
  • All issued lockers must be cleaned out at the end of the academic year for regular maintenance and cleaning.
  • Sauna use:
    • Pouring any liquids onto the heating elements in the sauna is strictly prohibited. Doing so can cause significant damage and may result in the sauna being closed for several days for repairs.
    • All sessions should be limited to to 15 minutes, especially for beginners.
    • Ensure adequate hydration before, during, and after. 
    • Monitor your body's response and exit if you feel dizzy, nauseous, or uncomfortable. 
    • Consult with a doctor before using a sauna if you have any underlying health conditions.
Facility Rentals and Reservations
  • Exclusive use of spaces is limited to approved reservation requests.
    • Facility reservations are available to registered Rutgers Student Organizations, Rutgers Departments, and External Organizations. 
    • Rental fees, equipment fees, and staffing fees may apply.
    • Requests for reservations do not guarantee confirmed bookings. You will receive a confirmation e-mail once the booking is confirmed. Follow-ups can be directed to rec.reservations@echo.rutgers.edu
  • Reservations at Recreation Centers are primarily available for sport and wellness-related bookings. For any other type of booking, please consider contacting the Rutgers Student Centers for spaces in those facilities as well as academic spaces.
    • Requests must be submitted promptly for consideration, minimum of 14 business days (additional time needed for larger scale events). Large-scale event requests require a minimum of 30 business days, as they may require coordination with Rutgers Police, Rutgers Facilities, and other contracted vendors.
    • Rutgers Student Organization Reservation Requests will be processed seven days before each semester/session starts. All requests received before that will be stored and processed on a first-received basis.
    • All submitted requests from Rutgers University Student Organizations and Departments must have received pre-approval using The Rutgers Event and Activity Certification System. EACS approval is not a reservation confirmation. Reservations must be requested using the form above and are not considered confirmed until you receive a formal confirmation e-mail from the Recreation Reservation Team.
  • Use of facilities for paid instructional, training, or coaching purposes is limited to approved reservations with all reservation parameters and payments fulfilled.

Marketing
  • Advertising at any Recreation Facility does not constitute an endorsement or guarantee of any product, service, or information.
  • No posting/signage may be secured to walls of Recreation Facilities, doors, windows, stairwells, or hallways. Items posted or distributed outside of approved locations will be removed
    and discarded.

Fitness Centers and Programming
  • Barbell deadlifting may only be performed in racks and/or platforms.
  • Olympic lifts (snatch, clean & jerk and other variations) are not permitted in the main fitness centers. There are two Power Gyms available with appropriate flooring, bars, and plates.
  • There is a 45-minute time limit for use of all cardiovascular equipment such as treadmills and ellipticals and a 30-minute time limit for all other fitness equipment such as squat racks, benches, and platforms, when others are waiting.
  • Avoid phone conversations in shared spaces such as while using a piece of cardio equipment or in a fitness & wellness class.
  • All weights should be re-racked, and all items returned to their original location.
  • Collar usage and spotters are strongly recommended during free weight use. 
  • Be mindful of others' personal space when setting up equipment and selecting a space.  Avoid selecting a space that blocks another user from seeing themselves in the mirror.
  • Users should arrive for class 10 minutes prior to the start time and avoid entering a class once it has begun.
  • It is the user's personal responsibility to limit activities, choose modifications, and select appropriate weights. All users are strongly encouraged to seek advice from a physician and a certified exercise professional before starting a new exercise program
  • Equipment is to be shared.  
    • Limit rest time and allow others to work in between sets.
    • Limit your time on all equipment when others are waiting 
    • Avoid super setting and/or using two pieces of equipment while others are waiting. 
    • Limit dumbbell use to 1 pair per user. 
Aquatic Centers and Programming
  • All users must shower before entering the water.
  • Running is not permitted on the pool deck.
  • Throwing bathers, allowing them to dive from shoulders or knees, dunking, and chicken fighting are not permitted. Patrons may not have others sitting on their shoulders.
  • Diving is only permitted in designated areas.
  • Lane swimming expectations:
    • Swimmers are expected to share a lane and circle swim when there are more than two people in a lane.
    • Swim with others of your own pace
    • Avoid diving into the lanes
    • Swim in a COUNTERCLOCKWISE direction staying to the right of the lane
    • Pass only when the passing lane is clear
    • Move to the extreme right corners of the lane if stopping for a moment
    • Avoid congregating at the end walls or hanging on the lane lines
    • Be considerate of others particularly when using hand paddles, or fins to avoid injury to other swimmers
Rockwall
  • Only patrons who have been belay-certified by Recreation staff may belay
    others. Certification is valid for one academic year. Rec staff are available to
    belay others on a first come/first served basis.
  • When bouldering or traversing, no patron may utilize foot holds above the designated “bouldering line” on the wall.
  • All belaying activities must utilize the Recreation belay station equipment located at the base of each climbing station.
Intramural Sports
  • All participants must bring their valid RUID to participate.
  • Teams must be ready to play before the start time. If a team shows up 5 minutes after the start time it will be declared a forfeit.
  • A participant may not play in two like divisions.
  • Participants must have played in at least two games to be eligible for the playoffs.
  • If a team forfeits two games, they will be dropped from further competition in that sport.
  • Intramural staff will determine what equipment may or may not be used during the contest or event.
  • All contests are governed by the NIRSA (National Intramural Recreational Sports Association) or designated high school/amateur rules for that sport except as modified by Intramural Sports Revisions. Teams are responsible for the knowledge of the rules and rule changes set by the Intramural Sports
    Department.
  • Any participant wearing eyeglasses or other eyewear may be required to wear a safety strap, especially if the eyewear is deemed unsafe during play.
  • Jewelry of any kind must be removed. Placing tape over jewelry will not be allowed.
Refunds
  • All refunds are to be submitted via the online request form here. All refunds will be assessed as a 20% administrative fee (not to exceed $25). All refunds must be requested no less than 2 weeks before the program/class starts. Exceptions include:
    • Certifications with outside authorities such as American Red Cross or Les Mills®. They will have their own policies, please review them during the registration process.
    • REC Memberships: requests are to be submitted no less than 5 business days from the purchase.
    • Multi-day Trips: requests are to be submitted no less than 3 weeks before the trip.
    • Personal Training and Guest Passes are non-refundable
    • Intramurals: Once a league schedule has been released, the team fee is non-refundable.
    • Youth Swimming: All refund requests will incur a $25 administration fee.
    • Youth Summer Camp: All refund requests made prior to April 15th. will receive a full refund minus a $25 administrative fee. All refund requests from April 16-June 1 will receive a 50% refund. Refund requests received after June 1st are non-refundable.
  • Approved refunds are to be returned via the same method as was received except for cash. Cash payments are required to be refunded via University issued check. Payments made by credit card will be refunded to the original card used at the time of payment. Expired or Invalid credit cards at the time of refund will need to be refunded via University issued check.
  • All refund requests for medical reasons will require a doctor's note
    • Youth Swimming: Full or partial refunds will be considered only for medical reasons if a participant misses three or more consecutive lessons.
    • Personal Training: Full and/or partial refunds will be considered for medical reasons.
  • Refunds will not be issued beyond one year of the date of purchase
  • Programs cancelled by Recreation will be eligible for a full refund with no administrative fee, and patrons do not need to complete the refund request form. Cancellations by the department will be communicated via email, and refunds will be processed.
Transfers
  • Transfer requests must be requested at least 10 business days before the scheduled start date, registration deadline and/or scheduled appointment. Request a transfer here.
  • Exemptions include:
    • Massage Therapy: transfer requests will be considered if submitted at least 24 hours prior to the scheduled appointment time. Requests made less than 24 hours in advance will not be eligible for transfer except in the case of a medical issue or emergency, and the session will be forfeited without refund or rescheduling.     • Youth Swimming: Once registration is completed, a transfer request will incur a $25.00 administrative.
  • Transfer requests may be allowed in lieu of refunds and do not have an administrative fee.
  • Transfers need to be within the same program category and of equal or greater value. For programs of greater value, payment for the difference will need to be received before the transfer is processed.
  • Program registration is non-transferable to other individuals.
